Claude for small business: 5 jobs it can take off your plate

    27 October 2026 · By Dan · 4 min read

    Short answer

Claude is an AI assistant you talk to in plain English. For a small business, it's best at the writing jobs that eat your evenings: turning rough notes into a quote, replying to the same emails every week, and writing job ads or website copy. Give it your prices and a few past examples first, check everything before it goes out, and it'll save you hours a week.

    First, what Claude actually is

Claude is an AI assistant made by a company called Anthropic. You type (or talk) to it like you'd message a person, and it writes back. Think of it as a sharp office assistant who's read a lot, types fast and never gets tired, but knows nothing about your business until you tell it.

That last bit matters. Most people try it once, ask something vague, get a vague answer and give up. The trick is to treat it like a new staff member: show it how you do things, then let it do the first draft.

    1. Turn rough notes into a quote

This is the big one. Most owners write quotes at night because there's no time during the day. With Claude, you jot down the job on site (or say it into your phone), paste it in, and get a draft quote back in your format.

    • Give it your price list and two or three past quotes so it learns your layout and wording
    • Paste in your rough notes: what the job is, materials, hours, anything unusual
    • Ask for a draft quote in the same format as your examples
    • Check every number before you send it. Never let it guess a price

    2. Reply to the emails you answer every week

How much do you charge? When can you come out? Do you service my area? Paste the customer's message in, tell Claude what you'd normally say, and it writes a reply that sounds like you. Save the good ones and you've got a set of ready-made replies.

    3. Write job ads, website copy and social posts

Staring at a blank page is slow. Tell Claude who you're trying to reach and what you want them to do, and it gives you a first draft to fix up. It's handy for job ads, service descriptions for your website, Google Business Profile posts and the odd Facebook post.

    • Tell it who it's for: "homeowners in Ballina with a blocked drain"
    • Tell it the one thing you want them to do: call, book, or reply
    • Ask for it shorter and plainer than you think you need

    4. Sort out the paperwork you keep putting off

Claude is good at turning messy information into something tidy. Paste in a long supplier email and ask for the three things you need to do. Give it a job checklist and ask it to turn it into a simple process for a new worker. Ask it to explain a contract clause in plain English (then still get proper advice if it matters).

    5. Set it up once so you don't repeat yourself

Claude lets you save instructions and files in a project, so it remembers your price list, your tone and your templates every time you start a new chat. Spend half an hour setting this up properly and every quote and reply after that gets faster.

The one thing it can't do

Claude helps you write. It doesn't answer your phone, reply to customers on its own or chase quotes that go quiet. Those jobs need a system running in the background: a chat assistant on your website and socials, a voice AI receptionist on your phone line, and automatic follow-ups. That's the part we set up for clients.

    WHAT WE'D DO

We'd set Claude up with your price list, past quotes and the way you talk, so rough notes turn into a draft quote in minutes. Then we connect the rest of the system, so enquiries get answered and quotes get followed up while you're on the tools.

    Real example

We quote our own jobs this way. Rough notes go in, a draft quote comes out, we check it and send it. It's the same setup we build for clients.
